How to schedule Instagram posts (in the app and with PostVIA)

How to schedule Instagram posts, carousels and Reels in the Instagram app or with PostVIA, the current limits, and how to plan a week of posts.

Short answer: in the Instagram app, create a post or Reel, open Advanced settings, turn on Schedule this post and pick a date and time. Instagram's Help Center says the account must be public, and you can schedule up to 25 posts a day, up to 30 days ahead. To schedule the same content to Instagram and other networks at once, use a scheduling tool like PostVIA.

Option 1: schedule in the Instagram app

  1. Tap Create and choose Post or Reel.
  2. Select your photo or video and tap Next.
  3. Add the caption, effects or filters.
  4. Open Advanced settings and turn on Schedule this post (or Schedule this reel), then choose the date and time.
  5. Tap Done, go back and tap Schedule.

To find your scheduled content, open your profile, tap the menu and go to Scheduled content under insights and tools. From there you can edit, reschedule or delete a post.

Good to know, according to Instagram's Help Center:

  • the account must be public;
  • up to 25 scheduled posts a day, up to 30 days in advance;
  • product tags, collaborations, paid partnership posts and fundraisers do not work with scheduled content yet.

Option 2: schedule with PostVIA

PostVIA is useful when Instagram is one of several networks you post to:

  1. Connect your Instagram account once.
  2. Create a post with an image, a carousel of up to 10 items or a video. Instagram always needs media, and PostVIA checks that before scheduling.
  3. Write the caption. PostVIA counts Instagram's 2,200-character limit as you type, and you can give Instagram its own caption while other networks keep the common text.
  4. Choose the date and time in your time zone and schedule it.

The post appears in the calendar, where you can drag it to another time until it is published. After publishing, PostVIA shows the result for each network.

Plan a week of Instagram posts

  • Pick two or three slots when your followers are online; see our guide to the best time to post on Instagram.
  • Write the week's captions in one sitting, then schedule them.
  • Put the hook in the first line: the feed shows only about 125 characters before "more". Check it in the free Instagram post preview.
  • Mix formats: a carousel, a Reel and a single photo.

Can I schedule Instagram Stories?

Instagram's scheduling guide covers posts, carousels and Reels. Stories are not part of it.

How far ahead can I schedule an Instagram post?

In the Instagram app, up to 30 days ahead, and up to 25 scheduled posts a day, according to Instagram's Help Center.

Can I post the same content to Instagram and Facebook at once?

Yes. In PostVIA, select both accounts in one post, adjust the caption per network if needed and schedule it once.
